Privacy Policy

This policy explains what information UpdatesPad collects, how we use it, and what choices you have. We've written it in plain English because privacy policies that nobody can read aren't really privacy policies — they're paperwork.

Who we are
UpdatesPad is operated by UpdatesPad LLC, based at Reston, VA. We're a software company that builds tools for countertop shops. When this policy says "we," "us," or "UpdatesPad," it means UpdatesPad LLC.
This policy covers our marketing website (updatespad.com), our application, and any related services.
What we collect
We collect different information depending on how you interact with us.
When you visit our marketing website
- Usage data — pages you visit, how you arrived, what device you're using, and approximately where you're connecting from (city or region level, not exact location). This comes from cookies and analytics tools, including Google Analytics.
- Contact information — only if you fill out a form. Things like name, email, company name, and whatever else the form asks for.
When you use the UpdatesPad application
- Account information — name, email, phone, company name, business address, role, password (stored hashed, never in plain text).
- Data you put into UpdatesPad — your contacts, accounts, opportunities, quotes, orders, projects, files, messages, calendars, materials, suppliers, and everything else you use the product for. This is your business data; we just store and process it on your behalf.
- Communications you send through UpdatesPad — emails, notifications, and messages sent to your customers via our platform, including delivery status (delivered, bounced, etc.).
- Usage data — features you use, actions you take, error logs, performance data. We use this to keep the product working and improve it.
When your customer uses your UpdatesPad client portal
When a customer of yours follows a magic link into an UpdatesPad project, we collect:
- Their name and email (which you provide when you set up the project)
- Their approvals, messages, and any files or photos they upload
- Basic technical data needed to make the link work (IP address, browser, etc.)
Your customers' data is part of your account's data. You're the owner of it; we hold it on your behalf.
Payment information
Payments are processed by Stripe. UpdatesPad doesn't store full credit card numbers. We do store the last four digits, the card brand, and billing details (name, address, country) needed to manage your subscription. Stripe's own privacy policy applies to the data they handle.
What we don't collect
We want to be specific here:
- We don't sell your data. Ever. Not to advertisers, not to data brokers, not to anyone.
- We don't use your data to train AI or machine learning models, and we don't share it with any third party that does.
- We don't share your CRM, customer, or job data with other UpdatesPad customers. Your account is your account.
- We don't track you across other websites for advertising purposes.
How we use your data
We use the information we collect to:
- Provide and operate UpdatesPad
- Process payments and manage your subscription
- Send transactional emails (sign-in codes, account notifications, billing receipts)
- Send occasional product updates (you can opt out anytime)
- Provide customer support
- Keep the product secure and prevent fraud
- Improve the product based on aggregated usage patterns (e.g., which features are used, where errors happen)
- Comply with our legal obligations
That's it. Nothing happens with your data outside of these uses.
Who we share data with
We share data only with third-party services that help us run UpdatesPad. These include:
- Amazon Web Services (AWS) — hosting, storage, and infrastructure. Your data is stored on AWS servers.
- Stripe — payment processing.
- Amazon SES — email delivery.
- Google Analytics — marketing website analytics only (not inside the product).
- QuickBooks (Intuit) — only if you connect your QuickBooks account. In that case, we send the data needed to sync customers and invoices.
We choose vendors who take data protection seriously. We don't share your data with anyone outside of running the product, and we don't sell it.
We may also disclose data if we're legally required to (a court order, a subpoena, etc.). If that happens and we're allowed to tell you, we will.
Where your data is stored
Your data is stored on AWS infrastructure in the United States. We don't currently operate in other regions. If you're outside the US and use UpdatesPad, your data will be processed and stored in the US.
How long we keep your data
- Active accounts — we keep your data as long as your account is active.
- Closed accounts — when you close your account, we keep your data for 60 days in case you want to reactivate, then delete it. Some records (billing, tax, legal) are kept longer if we're required to.
- Marketing website data — we keep analytics data for up to 26 months.
If you want your data deleted sooner than 60 days after account closure, email us and we'll handle it.
Your rights and choices
You can:
- See and update your account data anytime through your UpdatesPad account settings.
- Export your data — contact us and we'll get you a copy.
- Delete your account and data — close your account from settings, or email us directly.
- Opt out of product update emails — there's an unsubscribe link in every one.
- Block cookies in your browser settings. (Some parts of the website may not work properly without them.)
If you're a California resident, you have additional rights under the CCPA/CPRA, including the right to know what personal information we collect, the right to delete it, and the right to opt out of any "sale" or "sharing" of personal information (we don't sell or share it, but you have the right to confirm that). Email privacy@updatespad.com to exercise any of these rights.
Children
UpdatesPad is built for businesses, not children. We don't knowingly collect data from anyone under 16. If you believe a minor has given us their data, email us and we'll remove it.
Security
We take reasonable steps to protect your data — encryption in transit and at rest, access controls, regular reviews. No system is 100% secure, but we treat security as part of the product, not an afterthought. For more on this, see our Security page.
Changes to this policy
If we make material changes to this policy, we'll update the "Last updated" date at the top and, when appropriate, notify you by email or through the product. Minor changes (clarifications, typos) we'll just update.
